Pick accounting software badly and you pay three times: the subscription, the CA's extra hours untangling the mess at year-end, and the GST notices that follow from messy books. Pick well and the same software pays for itself in saved filing time. This post prices the credible options for Indian small businesses straight from the vendors' own pages — as of November 2026 — including one famous name you should stop seeing on recommendation lists entirely.

What SME software must actually do

The checklist is short and non-negotiable. GST-compliant invoices with your GSTIN and the correct HSN codes. GSTR-1 and GSTR-3B data that your accountant can pull without re-entry. Bank feeds or at least clean reconciliation. Multi-user access if you have staff. And e-invoicing support once your turnover crosses the government's threshold. Everything else — dashboards, AI, mobile apps — is convenience, and convenience is where pricing tiers live.

Zoho Books: the price ladder, verified

Zoho Books' India pricing page lists a genuinely free plan: free indefinitely while your revenue for the financial year stays under ₹25 lakh, with up to 1,000 invoices and 1,000 bills or expenses a year, GST reports and filing included, and email support. Above that, the paid ladder runs (billed annually, per organisation): Standard ₹749 a month for 5,000 invoices, Professional ₹1,499 for 10,000, Premium ₹2,999 for 25,000, Elite ₹4,999 (marked down from ₹5,999) and Ultimate ₹7,999 (from ₹9,599), each allowing 100,000 invoices a year. Extra users cost ₹150 a month billed annually. Source: zoho.com/in/books/pricing, accessed November 2026.

The free plan's ₹25 lakh ceiling matters because it sits just under the GST registration threshold for goods (₹40 lakh, ₹20 lakh for services, as our GST guide details) — so a young business can run its entire books free until growth forces the upgrade. The invoice limits are generous: 100 invoices a month fits the Free plan exactly; 400 a month needs Standard.

TallyPrime: the one-time buy

TallyPrime prices differently — perpetual licences, not subscriptions. The vendor's buy page lists TallyPrime Silver at ₹22,500 one-time for a single PC and Gold at ₹67,500 for multi-user access across machines, with rental options if you prefer recurring: Silver from ₹1,800 per three months (₹8,100 a year, discounted from ₹9,000) and Gold at ₹2,250 a month or ₹24,300 a year. Source: tallysolutions.com/buy-tally, November 2026.

The maths between the two leaders is straightforward. Zoho Books Standard costs ₹8,988 a year (₹749 × 12). Two years of it — ₹17,976 — still undercuts Tally Silver's ₹22,500 one-time price; in year three the subscription crosses the licence. Tally then needs an annual renewal for updates and support, which the buy page prices separately. Choose Tally if your accountant runs on it (most do — it remains the profession's default), you want data on your own machine, and multi-year continuity beats monthly billing. Choose Zoho if you want cloud access, the free start and invoicing that links to collections — as our payment-gateway comparison shows, Zoho's own gateway integrations keep the money side in one place.

Vyapar: the mobile-first option

Vyapar is the phone-first billing app for shops and small traders — GST invoices, inventory and basic accounting from an Android or iOS app, with desktop versions above it. It runs freemium, with paid annual plans; its pricing page is app-driven and did not expose plan prices to static fetching, so verify the current tiers on vyaparapp.in/pricing before you commit. The honest framing: for a counter-billing business that lives on the phone, Vyapar's workflow beats a full ledger system; the moment you need payroll, deep inventory or an accountant's audit file, step up to Zoho or Tally.

QuickBooks India: the name to strike from your list

Stale blog posts still recommend QuickBooks. Intuit's own India page settles it: new sign-ups ended July 2022, subscribers kept access until 30 April 2023, and as of 1 July 2023 there is no longer access to QuickBooks products in India. If a comparison table published this year lists QuickBooks India as a live option, the table was written by a template, not a human. Source: quickbooks.intuit.com/in, accessed November 2026.

A worked year: 150 invoices a month

A services firm billing 150 invoices a month (1,800 a year) with two users, on each candidate. Zoho Books Standard covers 5,000 invoices a year at ₹749 a month billed annually — ₹8,988 — plus one extra user at ₹150 a month (₹1,800 a year): ₹10,788 a year. TallyPrime Silver covers the same volume on its ₹22,500 one-time licence, plus the annual renewal Tally prices separately for updates and support. Over three years, Zoho's subscription totals roughly ₹32,364 against Tally's ₹22,500 plus two renewals — the two converge, and the decision stops being about price at all. It becomes about workflow: who touches the books, from where, and which system your accountant files from. Run that question before the price question; the price difference here is smaller than one month of a good accountant's fee.

Costs beyond the sticker

Three line items sit outside the plan price. GST: vendors quote pre-tax, and Tally's own checkout shows the 18% GST line on top — a ₹22,500 licence bills ₹26,550. Add-ons: Zoho's extras — document autoscans at ₹419 for 50 scans a month, locations at ₹600, expense claims at ₹149 a user — are individually small and collectively meaningful; price the ones you will actually use, not the full catalogue. Migration: moving books in is either free (imports from spreadsheets and rival formats, which both leaders support) or billable hours at your accountant — ask before you buy, not after.

Migrating off QuickBooks the right way

For the businesses stranded by the 2023 exit: your QuickBooks data exports — ledgers, masters, open invoices — and the mainstream tools document import paths for rival-format data. The sequence that works: export the full books at financial year-end, start the new tool from April 1 with opening balances rather than mid-year, and archive the old export for assessments. The one thing not to do is run two systems in parallel for months "to be safe" — you end up with two half-truths instead of one set of books, and your CA bills you for reconciling both.

What goes wrong

  • Outgrowing the free plan silently. Zoho's Free plan allows 1,000 invoices a year; invoice number 1,001 in a year arrives when the business is busy — the exact moment manual workarounds are costliest. Watch your run-rate from month eight.
  • Buying for the demo, not the data. The tool must export what your CA files from. Ask your accountant which format they accept — a Tally XML export or Zoho's GSTR-ready reports — before you pay anyone.
  • Ignoring e-invoicing readiness. Turnover thresholds for e-invoicing have been stepping down over the years; if you are within range, verify your tool generates signed e-invoices natively rather than through a workaround.
  • Paying user fees for users you do not have. Zoho charges ₹150 a user a month beyond included seats; a three-person team on the wrong plan leaks ₹3,600+ a year. Match the plan's included seats to your actual logins.
  • Confusing invoicing with accounting. A billing app that raises GST invoices is not a ledger. Your CA still needs books; choose the tool that closes the loop to them.

The trial rule

All three credible vendors let you try before you commit — Zoho's plans carry free trials, Tally sells monthly rentals that work as a try-before-buy on the ₹22,500 licence, and Vyapar runs a free trial pack. Use the trial on your real data, not demo data: raise your actual invoice format, import one real month of transactions, and have your CA open the output. A tool that survives that week is the right tool; a demo full of sample customers proves nothing except that the salesperson prepared well.

The decision, in one pass

Under ₹25 lakh revenue and simple invoicing: Zoho Books Free, and grow into Standard at ₹749 when you cross the invoice limit. Shop or trader with a Tally-fluent accountant: TallyPrime Silver ₹22,500 once, and negotiate the renewal. Phone-first counter business: Vyapar, verified on its pricing page on apply day. Whichever you choose, the software only books the money — the account it settles into matters just as much, which is why our current-account comparison covers the penalties your idle cash actually costs, and our MSME finance guide maps where the funding for all this comes from.

Key takeaways

  • Zoho Books is free indefinitely while annual revenue stays under ₹25 lakh (1,000 invoices a year), then ₹749/month (Standard, billed annually) up to ₹2,999 Premium and beyond — verified on zoho.com/in, November 2026.
  • TallyPrime is a one-time licence: ₹22,500 Silver (single PC) or ₹67,500 Gold (multi-user), with rentals from ₹750-class monthly plans; renewals are priced separately.
  • Two years of Zoho Standard (₹17,976) undercuts Tally's ₹22,500 one-time price; the subscription crosses it in year three — choose by workflow and your CA's toolchain, not by year-one cost.
  • QuickBooks India is dead: no new sign-ups after July 2022, no access after 1 July 2023, per Intuit's own India page — strike it from any comparison.
  • Vyapar is the mobile-first freemium option for counter billing; its pricing page is app-driven, so verify current plans in-app or on site before paying.
  • The software checklist that matters: GST-compliant invoices, GSTR-ready reports, e-invoicing support, and an export your CA actually accepts.
  • Watch plan limits from month eight — 1,000 invoices a year on a free plan runs out exactly when the business is busiest.

Frequently asked questions

Which accounting software is best for a small business in India?

For most new businesses, Zoho Books — free under ₹25 lakh annual revenue, then from ₹749 a month. For shops and traders whose accountant works on Tally, TallyPrime Silver at ₹22,500 one-time remains the profession's default. All prices per vendor pages, November 2026.

Is Zoho Books really free?

Yes, on the Free Plan — indefinitely while your revenue for the financial year does not exceed ₹25 lakh, with 1,000 invoices and 1,000 bills a year, GST reports and filing, and email support, per Zoho's India pricing page. Crossing the limit means upgrading to Standard at ₹749 a month billed annually.

Can I still buy QuickBooks in India?

No. Intuit's official India page states new sign-ups ended in July 2022, subscribers had access until 30 April 2023, and since 1 July 2023 QuickBooks products are no longer available in India. Any list still recommending it is outdated.

Is TallyPrime's price one-time or yearly?

The licence is one-time — ₹22,500 for Silver (single PC) and ₹67,500 for Gold (multi-user). Renewal for updates and support is a separate annual charge, and monthly or quarterly rental plans exist (Gold at ₹2,250 a month, for example) per Tally's buy page.

Do I need paid software before GST registration?

No. Free tiers handle GST-compliant invoicing fine — Zoho Books Free includes GST reports and filing support. What you need first is the registration itself (free on udyamregistration.gov.in and, where applicable, gst.gov.in), as our GST guide walks through.
